In practice, the management of these two systems is often found to be quite different, and as such requires the development of distinct technical skills and the adoption of separate management techniques. KEY PROJECT PLANNING AND MANAGEMENT RESOURCES
Economic Impact: We perform cost benefit analysis, project ROI, and opportunity cost, creating a project work breakdown structure (WBS), an essential tool for planning and executing the project to define the work, develop the project’s schedule, skills needed, and to recruit people with those skills. The Work Breakdown Structure gives the team a view into the project clearly showing the work the project encompasses. This defines the project scope clearly and precisely to ensure that the project gives you the best value for your effort is aligned with your company’s strategy.
Project Architecture. We design a presentation including workflow charts, milestones, resources, explaining the project architecture, including teams, team leaders, project tiers, based on the Work Breakdown Structure to bring people with different perspectives onto the same page.
Team Preparation. We prepare the project team using the project architecture presentation, and Work Breakdown Structure (WBS) to provide a structural view of the project for management and project teams. We train team members on client protocols, systems, software, security, etc. This helps to easily communicate client protocols, work, and processes involved in executing the project. The Project Manager ensures that the team is fully prepared and monitors the project schedule, resource requirements and costs.
Expertise. We align experts in areas—sometimes closely related disciplines with project demands and goals. We recognize that each project, being unique work, requires learning from and collaborating with experts with different disciplines. We cover all the bases with the nine Project Management Body of Knowledge (PMBOK) areas :
Scope. After defining scope clearly, analyze the cost of changes to reduce change requests, then manage all changes, adding to the project only when it is essential.
Time and cost. We only use unbiased, accurate estimation techniques, and set up systems to gather, track, and analyze time and cost information, so you can keep them under control
Quality. Our primary focus is on quality at all three levels to ensure value. At the technical level, we trace requirements and design checking and testing throughout the project to reduce errors. Then design a test bed, and implement the tests. At the project level, work to prevent error, then find and eliminate the errors that slipped through. We recommend as much testing as possible early to eliminate unforseen problems. Allow time for rework and retesting to ensure all errors are eliminated. At the business level, we include the expectations of stakeholders, and customers in testing, and remember that the goals are client satisfaction and added value.
Risk. We help plan for uncertainty, preparing for the unexpected. We perform risk management (what-if) analysis with your team in the testing phase, and during every week of the project.
Training & Development. We help coach each team member to step up in self-management and technical expertise. We illustrate Plan, Do, Check, Act (PDCA) procedure to team members as a model for continuous project improvement, especially when developing a new or improved design of a process, product or service. PDCA can be used when defining a repetitive work process, and when planning data collection and analysis in order to verify and prioritize problems or root causes. The PDCA procedure is helpful when implementing any organizational change.
Procurement. We use the WBS to ensure you have the equipment, supplies and resources you need for successful implementation and management of the project. If your project involves contracts, be sure to keep the contracts in alignment with project value and specifications, not just generally associated with goals and work.
Communications. Have a communications plan, and follow it so that you are in touch with all stakeholders throughout the project. Make sure everyone knows what they need to know to make decisions and get work done. Analyze status information to create status reports. Be prompt and decisive.
Integration. Our Project management systems constantly analyses project components and progress and directs corrective action. We evaluate all events that could change the project schedule, and all scope change requests. We review the effects of any change on all nine areas before making a decision, and then implement a revised plan with re-base lining, keeping the project on track with stages and milestones
Project Life cycle. At a minimum, we clearly define the beginning and end of the project, develop milestones, and evaluate the timing of progress at every milestone. We bring every deliverable—part of the product, product documentation, technical documents, the project plan and supporting documents—up to specification. If a project can’t deliver value, we will advise not pursuing it.
Feedback. Feedback reporting systems are built into our systems including milestones, with teams to keep focus on scope and quality in the process at four levels. We encourage teams to stay in lane and on schedule; ensure delivery of milestones; manage project risk; and manage project change. We also Compare actual ROI to planned ROI, to evaluate the degree of your success, compile project historical information and lessons learned to make future projects easier. We monitor continuing problems that may indicate a serious planning error, such as lack of attention to one of the nine areas of Quality Management or a poor architectural decision.
